Jewish Changemakers is a program of The Jewish Federations of North America, Inc. ("JFNA," "we," "us"), a 501(c)(3) nonprofit organization. This Privacy Policy explains how we collect, use, share and protect personal information through the Jewish Changemakers portal (the "portal"). The portal includes the public application, interest, nomination and event registration pages, and the signed-in portal used by fellows, alumni, faculty and staff.
This policy covers what is specific to the portal. It works alongside JFNA's organization-wide Privacy Policy, which is linked at the end of this page and also applies to your information.
1. Information you give us
When you apply or register. Program applications first ask whether you live in the United States or Canada, your date of birth, whether you are Jewish, whether you have taken part in Jewish Changemakers before, and whether you want to be a leader in the Jewish community. They then ask for your name, email address, mobile phone, mailing address, pronouns and a short bio. You can also add details such as your Federation, school, field of study, graduation year and time zone. Finally there are the program's own essay questions. The faculty application asks for your name, email address, professional role, essay answers and agreements. The interest form, nomination form and event registration pages ask for less, usually a name, an email address and a few optional questions.
We save applications as you go. Your application is saved as soon as you enter your email address. When you complete the personal details step, a contact record is created for you, even if you never press Submit. This lets you pick up where you left off, and it lets our team follow up with you.
When you nominate someone. You give us the name and email address of the person you are nominating, along with your own. We use their details only to contact them about Jewish Changemakers. Please nominate someone only if they would be glad to hear from us.
In your profile. Once you have an account, you can add or change:
- your photo, nickname, pronouns, date of birth and time zone
- your phone number, alternate email address and location
- your bio, job, employer, school, and LinkedIn and other social links
- an emergency contact and your leadership interests
- optional background information: racial or ethnic identity, gender identity, Jewish denomination and primary language
When you take part. We keep records of:
- the sessions you register for and attend
- the studies you complete, including your written reflections and how much of each video you watched
- the ratings and comments you give sessions
- your posts, replies and reactions on the portal's boards
- reimbursement claims you submit (amount, currency, travel distance and notes)
- your acceptance of the Code of Conduct
When you contact us. We keep the messages you send us and our replies.
2. Information we receive from others
- JFNA's records. The portal works with JFNA's Salesforce system. If you have taken part in Jewish Changemakers before, your existing record may be brought into the portal, including past applications and alumni status.
- Zoom. For online sessions, Zoom sends us attendance information: the name and email address you joined with, when you joined and left, and for how long. Some sessions run on Zoom accounts that belong to production partners or faculty. They send us their attendance reports.
- Program staff and faculty. Staff and faculty record information about your participation. This includes attendance, application decisions, interview notes, engagement assessments, session debriefs and internal notes. You can't see internal notes.
- People who nominate you, as described above.
3. Information collected automatically
Sign-in records. Each time someone tries to sign in, we record the time, the email address entered, whether it worked, the IP address and the browser used. We use these records to protect accounts and to help people who are locked out.
Portal analytics. We run our own analytics; we do not use Google Analytics. We collect analytics in two places:
- everywhere in the portal, for signed-in fellows, alumni and faculty
- on the application, interest, nomination and faculty application pages, for visitors who are signed out
Analytics record:
- the pages you view, and the links and buttons you click
- forms you start, submit or leave
- videos you play, how far you scroll and how long a page is in active use
- your browser, operating system, device type and screen size
- the website that sent you here, and any campaign tags in the link you followed
Signed-in activity is linked to your account. We do not store IP addresses or locations in analytics. We don't record analytics for staff, or for visits where staff view the portal as a member (see section 7).
Session replays. A session replay is a reconstruction of what happened in a browser tab: the page content, mouse movements, clicks, scrolling and what you type into form fields. We record session replays for fellows, alumni, faculty and signed-out visitors, including on the sign-in page and the application forms. Some things are never recorded:
- passwords, which are always hidden
- the session rating and feedback forms
- the account set-up and password reset pages
- staff pages, and visits where staff view the portal as a member
A recording stops after 30 minutes. Replays are deleted automatically after 30 days. Only JFNA staff with analytics access can watch them. We use them to find and fix problems and to improve the portal.
Email tracking. Most emails we send contain a small invisible image, and their links pass through the portal. This tells us whether an email was opened and which links were clicked. We record the time, the browser or email program used, and a scrambled (hashed) form of the IP address. Opening a message in your portal inbox also counts as reading it. Image blocking and the privacy features in some email apps affect these numbers.
Error logs. When something goes wrong, our servers log technical details of the error. These can include the address of the page involved.
4. Cookies, similar technologies and content from other providers
- Sign-in cookie. Keeps you signed in. It expires after 12 hours without activity, or after 14 days if you choose "Remember me." The signed-in portal can't work without it.
- Security cookies. Protect forms against forged requests and carry one-time status messages. These are required.
- Analytics cookies. "jcp_visit" identifies a single visit and expires after a period without activity (30 minutes by default). "jcp_visitor" is a random identifier that lasts up to 400 days and lets us count returning visitors. If you sign in during a visit, that visit is linked to your account.
- Browser storage. The portal stores a few display preferences in your browser, such as whether a list shows as a grid and how it is searched and sorted. While a session replay is being recorded, it also stores an identifier for that tab.
- Advertising tags. To measure and improve our program outreach, JFNA may turn on the Meta Pixel (Facebook and Instagram) and the LinkedIn Insight Tag. They load only for signed-out visitors, on the public application, interest, nomination and faculty application pages and their confirmation pages. They never load once you are signed in. They tell Meta or LinkedIn that a visit happened, with the page address and standard browser information. On a confirmation page, they also report that a form was submitted. Meta and LinkedIn may set their own cookies and connect the visit to your account with them, under their own privacy policies. You can limit this through your Meta and LinkedIn ad settings and your browser's cookie controls.
- Fonts and videos. The portal's typefaces load from Google Fonts on every page, and study videos play through YouTube and Vimeo. When that content loads, Google, YouTube or Vimeo receive your IP address and browser information. YouTube and Vimeo may also set their own cookies, under their own privacy policies. The portal records how much of each study video you watched.
The portal does not currently respond to browser "Do Not Track" or Global Privacy Control signals. Most browsers let you block or delete cookies. If you block the sign-in cookie, you won't be able to use the signed-in portal.
5. How we use information
- To review applications, decide eligibility and admission, and form cohorts.
- To run our programs, including schedules, online sessions, attendance, progress, completion certificates, stipends and reimbursements.
- To create and secure your account, and to provide the community features you use.
- To communicate with you, including account and security emails, application updates, program announcements and reminders, and replies to your board posts.
- To keep the community safe, including enforcing the Code of Conduct and the Terms of Use.
- To understand how the portal is used and to find and fix problems, using analytics, session replays and error logs.
- To measure our outreach, using the advertising tags described in section 4.
- To evaluate our programs and report on them (usually as totals rather than about individuals), and to connect alumni with their local Federations and the wider JFNA network.
- To meet legal, accounting and record-keeping obligations.
6. Sensitive information
Some information you give us can be sensitive, such as:
- your Jewish identity and denomination
- your racial or ethnic identity and gender identity
- your date of birth
- in some earlier applications, accessibility or accommodation needs
Applications ask whether you are Jewish because our programs are designed for Jewish participants. The background questions in your profile are optional. We use this information to run our programs and to understand and report on who they serve, usually as totals rather than about individuals. It is kept with the rest of your record, including in JFNA's Salesforce system, and authorized JFNA staff can see it. Other members can't see it in the directory.
7. Who can see your information in the portal
- Other members. The member directory shows your name, photo, email address, pronouns, job title, employer, city and state, bio, LinkedIn, and your cohort and program. Fellows see other fellows in their own program, alumni see other alumni, and faculty see the fellows in their cohorts. You can hide yourself from the directory in your profile. Profile photos are only shown to people signed in to the portal.
- Board members. Posts on a cohort's discussion board are seen by that cohort, its faculty and staff. Study reflections are seen by others in the same program once they have posted their own. Asks & Offers posts are seen by alumni, either in your cohort or across the whole alumni network, as you choose.
- Faculty. Faculty see information about the fellows in their cohorts. This includes attendance, progress, study reflections, one-on-one meetings, when fellows last signed in, and the notes staff and faculty keep. Faculty don't see your session ratings.
- JFNA staff. Authorized Jewish Changemakers staff can see the information described in this policy, as their roles require. To help with support questions, staff can view the portal the way a particular member sees it. Each time they do, it is recorded in that member's account history, along with any changes they make.
8. How we share information
We do not sell or rent personal information. We share it only as described here.
- Within JFNA. Your contact details, applications and participation are kept in JFNA's Salesforce system, which JFNA staff use to run and evaluate its programs. This includes portal activity such as discussion posts and study reflections. Some portal information never goes to Salesforce, including session ratings, the Asks & Offers board, internal notes, analytics and session replays.
- Your local Federation. JFNA works with local Jewish Federations across North America. If you are an alum, we may share some of your details with your local Federation so they can welcome you into their community: your name, email address, phone number, mailing address and birthday, the program you completed, how involved you have been with Jewish Changemakers, and your short bio. They receive these through secure report links that expire. To be left out of these reports, email us at the address in section 15. As the notice on the sign-in page says, JFNA and its member Federations may also contact you about their charitable activities.
- Service providers. We use outside services to run the portal and our programs, and each receives only the information it needs to provide its service: Salesforce for our records; Zoom for online sessions (when you open a session link, your name and email address are registered with Zoom); our email providers, including an email marketing service for some announcements; the production partners who run some of our online sessions; and our hosting providers.
- Content providers and advertising platforms. Google Fonts, YouTube, Vimeo, Meta and LinkedIn, as described in section 4.
- Legal and safety. When the law or legal process requires it, or when it is needed to protect the safety, rights or property of participants, JFNA or others.
- Organizational changes. If the program, or JFNA's responsibility for it, moves to another organization, your information may move with it. This policy will continue to apply to it.
9. Your choices
- Your profile. You can view and update your profile at any time. Changing the email address you sign in with needs staff approval.
- The directory. You can hide yourself from the member directory in your profile.
- Email. In your profile you can turn off program announcements, pause email until a date you choose, or unsubscribe from all optional email. Account, security and application emails are always sent. Some program reminders also continue while you are taking part in a program. To stop other communications from JFNA and its member Federations, email changemakers@jewishfederations.org.
- Federation reports. Alumni can ask to be left out of local Federation reports by emailing us.
- Cookies and ads. Use your browser's settings and your Meta and LinkedIn ad settings, as described in section 4.
- Access, correction and deletion. You can ask us for a copy of your personal information, ask us to correct it, or ask us to delete it, including your analytics data and session replays. Email us at the address in section 15. We will respond within a reasonable time and as the law that applies to you requires. We may need to keep some information where we have a legitimate need or a legal obligation, such as records of program participation, completed applications and financial records.
Depending on where you live, local privacy law may give you additional rights. We will honor those rights as the law requires.
10. How long we keep information
- Session replays are deleted automatically after 30 days.
- Analytics are kept so we can see long-term trends in how the portal is used, unless you ask us to erase yours.
- Your contact record, applications and participation history are kept while you are part of the Jewish Changemakers community. We keep them afterwards for as long as JFNA needs them for its program records, its alumni network and its legal obligations.
- Sign-in records, email delivery records and account history are kept to protect accounts and to keep an accurate record of what happened.
- Posts you remove from a board disappear from view but may stay in our records. Study reflections can't be removed, because they record that you completed the study.
11. How we protect information
- The portal is only served over encrypted connections (HTTPS).
- Passwords are never stored in readable form.
- After repeated failed sign-in attempts, an account is locked for a short time.
- Staff access is limited by role and permission.
- The credentials the portal uses to connect to other systems are encrypted.
- One-time links, such as account set-up and password reset links, are hidden in our records.
No system is completely secure. Please choose a strong password and keep it to yourself. Tell us right away if you think someone has used your account without your permission.
12. Children
The portal is intended for adults. Each program sets its own age requirement, and Jewish Changemakers fellowships generally require applicants to be at least 21. The portal is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has given us personal information, please contact us and we will delete it.
13. Where information is kept
Jewish Changemakers serves participants in the United States and Canada. Information in the portal is stored and processed in the United States, where privacy laws may differ from those where you live.
14. Changes to this policy
We may update this policy as the portal and our programs change. The effective date at the top of this page shows when it last changed. If we make a significant change, we will let you know through the portal or by email.
